Maintain your inbox.

I try to maintain no more than 2 - 3 weeks of leads in my inbox. Hopefully you have been able to status those leads that you have been contacting. Please review the video for more information. In any case I will assume that you have been moving your leads from folder to folder. .....but now your inbox is out of control and needs to be cleaned up. Not a big deal what you need is some time, a temp folder, and a no contact folder (sorted by months and years). Typically what I do is start with my oldest leads. I open them all to check/verify what communications I have had with the customer. This will tell me what email I need to send the lead. Ex. If I sent them a quote and have had no contact I would send them a different email than I would someone I have not been able to reach. I close the lead then I right click on the lead and mark it as unread. This will tag the lead as one that will be moved to the corresponding no contact monthly folder. I go through a dozen or so at a time. Then select each lead, hold down the control key to select multiple leads. Right click on the highlighted leads and move them to your temp folder. They are now ready for a mass email (see video). Once the emails have all gone out I move the leads from the temp folder into the no contact monthly folder.

IDA is the best CRM tool I have ever used, and is specifically designed for sales agents. I will tell you that the way I maintain my inbox is through subfolders for specific events. When a lead goes in the inbox, I call them asap. If I do not reach them, I have subfodlers such as "Morning", "Afternoon", and "Evening". If I called them the first time in the morning and they are not there, then they go to an "Evening" folder. If I rty them the next day and they are not there, I move them to the "Afternoon" folder, and so forth until I reach them. Once reached they stay in that folder until i am finished with the lead. If I never reach them, they go to a folder "Never reached". If I reach them but then they are not interested at that time, they go to a folder "Not interested". If I sell a deal, they go to a "Sold" folder. There are many more, but the idea of these folders is to A) compare ratios of the lead sources, and B) I can send custom mass emails later based on the specific set of events.
